Series contains records pertaining to the Secretary-General that are personal in nature or that are related to matters of importance in the Secretary-General's non-professional obligations. Included in the series is correspondence with VIPs, personal friends of the Secretary-General and persons who made his acquaintance on official trips and at official public events. VIP correspondence includes invitations extended to the Secretary-General to attend cultural events; documents activities the Secretary-General became involved with or considered which fell outside his obligations as Secretary-General; and contains letters in which people express their views of the United Nations and of global issues. VIP correspondence also includes letters exchanged between the Secretary-General and the Aga Khan family, Brian Urquhart and former Secretaries-General Kurt Waldheim, Javier Perez de Cuellar and Boutros Boutros-Ghali. Series also includes official letters of condolence sent by the Secretary-General to relatives and friends of persons within the United Nations system recently deceased; letters sent to ambassadors of member states on the occasion of the death of persons serving with United Nations missions and field operations; and letters of condolence sent to heads of state after the occurrence of a natural disaster. Included in the series are files containing congratulatory messages and well wishes from colleagues, governments and the general public to the Secretary-General upon his election and re-election to the post; upon the Secretary-General's mission to Iraq in 1998, which resulted in the Memorandum of Understanding between the United Nations and Iraq signed 23 February 1998; and upon receiving the Nobel Peace Prize in 2001. Also documented are honors and titles offered to the Secretary-General by universities and other institutions and organizations. Records in the series consist of correspondence, notes, greeting cards, faxes, press releases and invitations.

Series consists of records pertaining to administration and finance of the United Nations. Contained in the series are records related to the recruitment of personnel, job applications and records associated with the employment application process. Personnel files also contain records pertaining to current staff of the Executive Office of the Secretary-General (EOSG) and current personnel in United Nations offices and departments; reappointment, promotion, status and retirement of personnel; assignment of personnel to missions and United Nations organs; evaluations of employee performance; termination and extension of personnel contracts; and complaints of employees. Personnel files also include letters to of appreciation of service from the Secretary-General. Also contained in the series are files pertaining to the safety and security of international civil servants, which contain records pertaining to security standards practiced by United Nations missions and field operations; legal protection of United Nations and associated personnel; and incidents of hostility and violence enacted against United Nations and associated personnel, such as death threats, kidnappings, physical assault and theft. Files in the series pertaining to the Office of the United Nations Security Coordinator (UNSECOORD) concern the implementation of the United Nations Security Management System and the planning, clearance and assessment of security for United Nations and associated personnel. Files in the series which concern security contain records pertaining to the bombing of the United Nations Office in Baghdad on 19 August 2003 and which document the response of the United Nations to the attack; concern victims of the attack, such as Sergio Vieira de Mello and Nadia Younes; and pertain to United Nations commemorative events held in remembrance of the tragedy. Series also contains records pertaining to the financial crisis of the United Nations, including daily reports of the financial situation of the organization; records concerning the debt of member states and overdue payments received from member states; and documents proposing measures to improve the financial condition of the organization. Records consist of correspondence, resumes, employment application forms, reports, notes, code cables and faxes.

Series includes records pertaining to the Secretary-General's daily agenda of activities. Documented are the Secretary-General's extensive travels during the entirety of his tenure. Trip files consist of official itineraries and program booklets of the Secretary-General's visit; the Secretary-General's briefing books for countries and cities visited; background notes on topics of importance to groups and organizations with whom the Secretary-General met; program material for summits and conferences the Secretary-General participated in; publications of United Nations programmes active in countries and regions visited; lists of persons accompanying the Secretary-General on trips; seating arrangements of formal dinners and meetings the Secretary-General attended; programs of cultural performances attended by the Secretary-General; press releases regarding the Secretary-General's activities while on trips; and records pertaining to air and ground transportation, hotel accommodations and security of the Secretary-General and party while on trips. Trip files also contain code cables exchanged between the Executive Office of the Secretary-General (EOSG) and the Secretary-General and party. Also included in the series are files which pertain to persons and groups that were granted meetings and audiences with the Secretary-General, including heads of state, representatives of organizations and VIPs. Other files in the series pertain to invitations received by the Secretary-General to attend public and private events and to speak at celebrations and commemorations of non-profit or private organizations. Records also identify persons who attended events as representatives of the Secretary-General. Files pertaining to messages include the text of the Secretary-General's messages offered to various groups and organizations for use at public and private events; text of messages published in books or periodicals; and text of the Secretary-General's messages for events and commemorative occasions at United Nations headquarters. Records which pertain to the Secretary-General's daily appointments document persons and groups with whom the Secretary-General met, appointment times and well as places of appointment. Series also contains records pertaining to the meetings of the Senior Management Group, Executive Committee on Peace and Security, Steering Committee on Reform, Communications Group, Policy Coordination Group, Emergency Task Force, Great Lakes Task Force and Kosovo Task Force. Records consist of correspondence, briefing books, programs, invitations, speeches, code cables and faxes.

Press matters and public relations

Series contains documents pertaining to United Nations press matters and public relations.
General press matters files consist of documents related to press coverage of the United Nations and the Secretary-General; documents inviting the Secretary-General to write articles or contribute messages and statements; documents regarding articles written by the Secretary-General; documents regarding requests of the Secretary-General for interviews and television appearances; documents regarding political cartoons; and documents pertaining to the Office of the Spokesman for the Secretary-General.

Files in the series which pertain to United Nations Day (24 October), Human Rights Day, the 50th anniversary of the Universal Declaration of Human Rights (1998) and the 60th anniversary of the United Nations (2005) include documents regarding preparations for celebratory events, text of statements made and congratulatory letters and statements sent to the United Nations by member states, organizations and the general public.
Also contained in the series are records pertaining to donations of money made to the United Nations and to books, photographs and other items received as gifts by the Secretary-General and his wife Mrs. Nane Annan. Records consist of press releases, press clippings, daily press briefings, correspondence, cards, notes and faxes.

External Relations

Series 1096 consists of delegation files, meeting notes, correspondence, reports and other documents. The records detail meetings and negotiations between the Office of External Relations and governments, non-governmental organizations (NGOs), civil, religious and academic institutions, the general public and United Nations Information Centres (UNICs).

The delegation files contain information about a wide variety of issues occurring between 1996 and 2006 including the United Nations’ response to: human rights abuses, humanitarian needs and natural disasters; and involvement in military activities and conflict resolution, political negotiations and matters related to elections, personnel appointments and the security of United Nations personnel. There is correspondence between the Secretary-General and ambassadors, heads of state, government officials and United Nations senior officials, as well as reports prepared for the Secretary-General of permanent missions and resident coordinators. The files also contain documents related to delegations sent by member states: Afghanistan, Angola, Democratic Republic of Congo, Cote d'Ivoire, Iraq, Lebanon, Liberia, Sierra Leone, Sudan, Timor-Leste, United States of America and Yugoslavia.

A key set of records in Series 1096 are the meeting notes of Kofi Annan. The notes detail meetings about the terrorist attacks of September 11 and their impact on the work of the United Nations. Several notes focus on issues in the Middle East circa 2002 and 2003 including a meeting with the Weapons of Mass Destruction Commission (WMDC) attended by UN Weapons Inspector Hans Blix and with Prime Minister of Lebanon Rafik Hariri, about Israel’s occupation of lands considered to be Lebanese. Other meetings addressed natural disasters, such as the 26 December 2004 Indian Ocean tsunami and South Asian Earthquake, and were attended by Bill Clinton and George H.W. Bush. Meetings concerning gender equality are featured prominently, often involving discussions with Rachel Mayanja, Special Advisor on Gender Issues and Advancement of Women.

Other files contain correspondence and reports of meetings between the Secretary-General and representatives of religious institutions about religious violence, religious ceremonies and events held in connection with the activities of the United Nations. Several files contain invitations for the Secretary-General to speak or attend events at educational institutions. Some of the records describe projects and collaborative efforts between the United Nations and educational institutions. In addition, the files contain correspondence from the general public contains opinions expressed about the work of the United Nations, suggestions for United Nations activities, reactions to specific decisions made by the Secretary-General, requests for autographs, well-wishes, as well as personal endorsements from the Secretary-General.

Records in the series pertain to trouble spots in the following countries and regions: Afghanistan, Cyprus, East Timor, Kashmir, Korea, the Middle East and Western Sahara. Included in trouble spot files for Afghanistan are records pertaining to the emergence of the Taliban, reconstruction and development of the state, operations of the United Nations Assistance Mission in Afghanistan (UNAMA) and the status of women. Trouble spot files for East Timor pertain to the transitional administrations governing East Timor before its independence from Indonesia and document Sergio Vieira de Mello's service as United Nations Transitional Administrator (1999-2002). Trouble spot files for Africa include records concerning the resolution of conflict in the African Great Lakes region. Trouble spot files also pertain to ethnic and territorial conflict between Ethiopia and Eritrea and the work of the United Nations Mission in Ethiopia and Eritrea (UNMEE) in the region. Records in the series also document territorial conflict between Guyana and Venezuela. Also documented in the series are the efforts of the United Nations Mission for the Referendum in Western Sahara (MINURSO). Files associated with the Iraq invasion of Kuwait in August of 1990 concern the United Nations Special Commission (UNSCOM), United Nations Compensation Commission (UNCC), United Nations Iraq-Kuwait Observer Mission (UNIKOM) and the United Nations Monitoring, Verification and Inspection Commission (UNMOVIC). Series 1092 contains records that consist of code cables, correspondence, reports of meetings, notes, memoranda, proposals, press releases and minutes of meetings. The records were generated by the Executive Office of the Secretary-General (EOSG) and document the relations between EOSG and the following departments and offices of the United Nations Secretariat: Office of Internal Oversight Services (OIOS), Office of Legal Affairs (OLA), Department of Political Affairs (DPA), Department for Disarmament Affairs (DDA), Department of Peacekeeping Operations (DPKO), Department of Economic and Social Affairs (DESA), Department of Management (DM), Department of Public Information (DPI), Department for General Assembly and Conference Management (DGACM), and the Office for the Coordination of Humanitarian Affairs (OCHA).

Documents in this series pertain to matters which have come to the Secretary-General for action or which are the products of the Secretary-General's work or authority. Files for the Department of Political Affairs (DPA) include reports on activities and proceedings of the Security Council and records documenting informal consultations between members of delegations and the Security Council. Files for the Office for the Coordination of Humanitarian Affairs (OCHA) include records pertaining to the Office of the Emergency Relief Coordinator (OERC), Office of the Iraq Programme (OIP), Office of the Humanitarian Coordinator for Iraq (UNOHCI), the United Nations Independent Inquiry Committee (IIC), as well as to earthquake, flood and tsunami relief and the International Strategy for Natural Disaster Reduction.

A key set of records consists of code cables sent to Kofi Annan from Under-Secretaries-General, Assistant Secretaries-General, Special Representatives, Special Coordinators and Special Advisers of the Secretary-General. The cables contain information about responses to crises in Timor-Leste, Kosovo, the Horn of Africa, and Lebanon where special commissions were created, special envoys were deployed and interim forces were sent. In addition, they include discussion of structural reform and added positions such as two deputy-secretary generals. The code cables also contain correspondence with the Security Council on such topics as the draft resolution of Sierra Leone and the draft peace agreement for the Democratic Republic of Congo.

Note that the series contains closed files for the following departments and offices: Office for Disarmament Affairs (ODA), Department of Administration and Management (DAM), the Office of Programme Planning, Budget and Finance (OPPBF) and the Department of Humanitarian Affairs (DHA).
